Job Summary The Lead Marketing Specialist, with oversight from the Marketing Communications Manager, provides daily and ongoing project support to the Member Communications team for all external member communications activities including current/future mail campaigns, print and digital collateral, and member materials management.
The Marketing Specialist will also provide support to the Member Communications team in the areas of inventory management, record keeping, maintenance of project status reports, coordination with external vendors/partners and other internal partners as needed.
Additional responsibilities include budget tracking, invoice, and PO processing.
Also ensures the accuracy of the information and compliance with corporate policies and procedures and CMS & state Medicare Marketing Guidelines.
Key Responsibilities/Duties – what you will be doing Marketing Project Support Develop member materials, including brochures, flyers, and new member kits Support team with key daily activities such as content reviews, securing vendor quotes and schedules, and ensuring projects stay on schedule Participates in status meetings – internally and with key outside partners Works with Marketing Communications Manager on special projects, as needed Develop content ideas, review copy for communication materials to ensure accuracy and relevance, including, but not limited to website, direct mail, digital, and plan specific collateral Materials Management (Proofing, Inventory, Fulfillment, Translations) Reviews materials to ensure consistency with strategy, tone, brand Reviews materials to ensure materials meet regulatory CMS marketing and communications regulatory requirements Manages the development of member materials as needed including new member kits Facilitates and oversees all internal copy center requests for member communications team Work with other internal departments, designers, and vendors to ensure member communication materials are consistent, meet objectives, enhance the content, and adheres to marketing standards and brand Keep Marketing Communications Manager informed regarding status of all projects and other job responsibilities.
Provide Manager with weekly update summarizing all completed, pending, and upcoming activities.
Budget Tracking, Materials Inventory, Reporting and Project Status Oversight Tracks all member communication expenses on the budget tracker and submits invoices for payment processing in a timely manner CMS/EOHHS Submission for Marketing Materials Ensure all applicable CMS/state and internal compliance requirements are understood and followed and that all policies and procedures are accurately documented and readily accessible Submits and oversees all material submissions to regulatory entities (e.
g.
, CMS) Provides updates to business owners on the status of each submission as needed Keeps accurate records of all submissions and supporting documents Qualifications – what you need to perform the job Education, Certification and Licensure Four (4) year college degree required; preference for BA/BS in marketing, communications, or advertising.
Experience (minimum years required): Seeking an individual with at least 2 – 4 years professional experience.
Health care (or other highly regulated industry) experience is highly desirable Skill Requirements Thorough understanding of the principles of communications and marketing Basic knowledge of branding, design principles and print/digital production – highly desirable, but not required Comfortable with writing and content development – for clarity and audience.
Must be flexible and highly adaptable to shifting priorities and demands.
Comfortable working independently as well as within a team environment Proactive and detail oriented Mature attitude and professional demeanor Working knowledge of MS Office, and Adobe Reader Basic accounting skills to ensure accuracy of budget submissions and invoice tracking.
Comfortable supporting a team and juggling multiple activities, simultaneously.
Working Conditions and Additional Requirements Must be able to work under normal office conditions and work from home as required Work may require simultaneous use of a telephone/headset and PC/keyboard and sitting for extended durations.
