Taunton State Hospital is seeking a qualified candidate to work as an Office Support Specialist I supporting the Clinical Services Department.
This position provides administrative support services that include typing, filing, and preparing specific reports and documents; and creates, enters, and maintains databases and reporting of data, processing of departmental paperwork and regulatory information for the management of the hospital.
Please note: This position is 37.
5 hours from 8:30 a.
m.
to 4:30 p.
m.
Days off are Saturday and Sunday.
Duties and Responsibilities (these are a general summary and not all inclusive): Provides oversight to Active Treatment databases, maintaining and updating on a weekly basis.
Distributes Active Treatment data upon request to the relevant individuals and committees.
Provides office support to Clinical Departmental meetings.
Maintains reports for the Clinical Departments.
Takes minutes for assigned committees in addition to filling in as back-up as needed.
Aids the Clinical Departments student training programs by communicating with interested parties, maintaining the training programs records, scheduling of interviews and orientation, and other related training program needs.
Collaborates regarding the pre-admission process.
Receives admission packets, prints and replies received and sends to involved parties for informational purposes.
Enter all information into Mental Health Information System (MHIS) and QUEST.
Completes face sheet for admission packet, sends out a notification via email, and hand-delivers the packet to the department manager.
Collects, tracks, and maintains Performance Improvement data for the Clinical Departments.
To ensure effective communication and operation completes the following as needed: Receives incoming calls, ensures messages are received in a timely way; responsible for twice daily distribution of mail; copying, ordering supplies and inventory.
Supports quality assurance projects throughout the Clinical Departments, assisting in assembling resources, aiding in tracking progress, and making adjustments to improve outcomes.
Connects staff to relevant staff and resources.
Distributes department-specific protocols to department staff and facilitates sign-off on said protocols.
Updates, maintains, and distributes all Clinical Departments Joint Commission related documents in preparation for accreditation.
Provides support by creating, collecting, entering, calculating, and reporting data.
Adapts materials and resources to make them more presentable for patients and staff.
Enter admissions into the DMH Admission Referral Tracking (DART) Completes all mandatory staff development classes as required.
Performs related duties as assigned.
